Getting started
Connect QuickBooks Online or Xero
Flocuity connects to QuickBooks Online and to Xero. Once connected, it reads your open invoices and bills, when past invoices were paid, and the bank accounts and transactions in your books, and keeps them up to date on its own. Each open invoice and bill goes in the forecast on its due date (on Plus, an invoice is dated by how that customer really pays), and one already past due is moved two weeks out. A date on a weekend moves to a weekday: the Monday after for an invoice, the Friday before for a bill. It’s read-only: nothing is ever written back to your books.
To connect
- Open Settings › Accounting.
- Choose QuickBooks Online or Xero and sign in on its own page. Flocuity never sees that password.
- Approve read access, and for Xero pick the organization. Your open invoices and bills appear under Money In and Money Out.
Good to know
- An invoice or a bill more than 90 days past due comes in left out of the forecast, because it’s unlikely to be paid on schedule. Use Put back on it if you still expect the money, or still mean to pay.
- When an invoice or bill is paid or changed in your books, the next sync updates it here.
- A change you make to a synced item in Flocuity is kept; the next sync doesn’t undo it.
- To disconnect, use Disconnect beside it under Settings. The invoices and bills that came from it leave your forecast, and what you entered yourself stays.
- If you remove Flocuity from the connected apps inside QuickBooks or Xero instead, Flocuity can no longer read your books, and Settings asks you to reconnect or disconnect. Choose Disconnect to take those invoices and bills out of the forecast.
